Order updates are most useful when they answer the question the customer is likely to ask next. A confirmation should confirm the order. A fulfillment message should explain what has moved. A payment reminder should make the next action clear.

Choose the events that matter

Start with a small set of operational events rather than sending a message for every internal state change.

  • New order confirmation.
  • Payment confirmation or pending-payment reminder.
  • Order processing update.
  • Fulfillment or shipment update.
  • Cancellation or refund confirmation.
  • Cash-on-delivery confirmation request where relevant.

Keep message content specific

An order message should use data already available in the commerce event, such as the customer name, order number, order total, payment status, store name or tracking details.

Avoid adding unrelated promotional copy to an operational update. The customer opened the message to understand the order.

Protect integration access

Use a dedicated credential for the store connection. Grant only the message-send access the workflow needs and revoke the key when the connection is removed.

Webhook signatures, queue controls and duplicate-send protection are technical details, but they support a clear buyer outcome: fewer accidental or unverified system messages.

Plan for customer replies

An order update often starts a conversation. The customer may change a delivery time, correct an address or ask about a payment.

Make sure the reply reaches a workspace where the team can see the original update and continue with the full context.
